In the dynamic retail sector, every transaction is crucial. While the back office’s archaic processes for reconciling have gradually damaged business operations. It led to more time being wasted without helping the company uncover valuable insights into its finances. With hundreds of transactions occurring daily across multiple banks and accounts, a leading retail company struggled on similar lines. They found it difficult to streamline their financial operations and bring orders.
To address these matters, the company partnered with ERPROOTS to assist with the automation, intelligence, and transparency of its finance operations. By utilizing and leveraging SAP S/4HANA Bank Reconciliation Automation, our team was able to create a bespoke solution and convert reconciliation from a manual, time-consuming duty into an efficient, real-time, and error-proof digital process on an ongoing basis. The result: a quicker, more accurate, and unquestionable financial close, every day.
How SAP S/4HANA Simplifies Daily Bank Reconciliation
The SAP bank reconciliation process optimizes the house bank and segment structure of SAP S/4HANA for real-time daily monitoring to create automation, consistency, and financial visibility.
Daily Data Upload and Control Parameters
All bank statement data is uploaded in Excel format each day into a central backend table (Z_TABLE). Access to data by users is sorted by selection parameters or filters to authorize the user to reconcile specific bank segments.
Bank Reconciliation Process Flow
SAP S/4HANA automates the bank reconciliation process by sorting into the following categories:
> Matched items
> Unmatched items
> Income and expenses
> Bank and branch transfers
This makes it faster to reconcile with less manual intervention.
Posting and Real-Time Transparency
After the reconciliation process is complete, cleared statements are posted automatically. This provides transparency with real-time balances between actual bank balances and SAP balances, allowing for visibility into cash flow and financial transparency across the organization.
Tailored SAP Solution for Bank Reconciliation

A functional, custom SAP transaction was created as a complete user-end, single-screen reconciliation tool that contains each user’s and bank’s responsibility level authorization controls.
> Single-Screen Reconciliation Tool
A user can upload and process bank statements from one screen. The application has role-based controls, which provide compliance and accountability, allowing only authorized personnel to post reconciliations.
> Automated Posting via BAPI_ACC_DOCUMENT_POST
Using the functional module BAPI_ACC_DOCUMENT_POST, the system automatically matches bank statements to vendor payments based on preconfigured rules. This automation reduced manual errors and expedited document posting to centralize reconciliation.
> Real-Time Tracking of GL Accuracy
Reconciled documents can be filtered by house bank and segment so that users can track total reconciliation amounts for individual banks. This allows for improved accuracy of GL accounts, full transparency of operations, and allows for tracking of the finances in real-time through automated bank reconciliation.

Implementation Challenges and SAP Solutions
Challenge 1 – Different Bank Statement Formats
Problem: Each banking institution provided its statements with unique formats, field structures, and naming conventions, thereby complicating the process of importing them directly and creating a need for more manual effort.
Solution: We developed an overall SAP S/4HANA reconciliation framework to facilitate multi-bank data integration into a standardized format. This adaptability in the tool as a data integration process minimized the manual effort in data entries, improved data consistency, and had clear validation and cleansing features for each bank’s data.
Challenge 2 – Transaction Matching Complexity
Problem: Timing variances, rounding errors, and missing references proved to complicate and hinder the reconciliation process by not allowing automated transaction matching.
Solution: A rule-based automation engine was built into the SAP S/4HANA system to match payments within timed amount, date, and reference level tolerances. If automatic matching was not completed, users could resolve exceptions manually with a complete view of what and why adjustments were made.
Promoting User Adoption with the SAP Fiori Interface
User adoption was key to long-term success. The solution was based on the SAP Fiori design framework, which provided a clean, intuitive, and responsive interface to make navigating and completing tasks easy.
Its modern designs increased overall system adoption and improved user experience. This reduced training time by 40%. The tailored interface design of SAP Fiori integrates seamlessly into existing ERP workflows smoothly and efficiently for all end users.
